Privacy notice

What this website collects, why, and what you can ask us to do about it. Written in plain language on purpose.

The short version

If you fill in a form on this site, we use what you told us to reply to you and to arrange your care. We do not sell it, we do not rent it, and we do not add you to a marketing list because you asked a question about your skin.

We do use a small number of service providers to run the clinic, and they handle your information on our behalf. They are named below.

What this notice covers

This notice is about the website. Your clinical records, meaning the notes taken during a consultation or a treatment, are handled separately by the clinic under its obligations as a health information custodian in Ontario.

What we collect, and when

Enquiry and consultation forms

When you send a form on this site we receive your name, your email address, your phone number, and whatever you wrote in a message box if the form had one. We ask for the minimum we need to reply properly.

Information your browser sends automatically

Like any website, requests to this site arrive with technical information such as an IP address, a browser type and the page requested. Our hosting provider records this in ordinary server logs, which exist to keep the site running and secure and to investigate faults and abuse. They are not used to build a profile of you, and they are kept only for as long as they are useful for those purposes.

Cookies and tracking on this website

This website uses Google Tag Manager, which loads our measurement tools. Through it we use Google Analytics to understand how people find and move around the site, Google Ads conversion tracking to see which adverts led to an enquiry, and the Meta pixel, which reports the same for adverts on Facebook and Instagram.

These set cookies in your browser and can be used by Google and Meta to recognise you across other sites. We use them to understand what works, not to identify you personally, and we do not upload anything you tell us in a form into an advertising audience.

You can opt out of Google Analytics with the browser add-on Google provides, and most browsers let you block third-party cookies outright. Nothing on this site stops working if you do.

Why we use it

  • To answer the question you asked us.
  • To arrange or change an appointment you asked about.
  • To keep a record that you contacted us and how we responded.

We do not use website enquiries to build advertising audiences.

Who else sees it

We do not sell personal information to anybody. We do rely on the following providers, who process information on our behalf:

  • Pabau is our booking and client management system. It holds appointments and client records, and enquiries you send through this site are recorded there. It is the clinic's main system.
  • Our website developer operates the server that receives an enquiry form and passes it into Pabau. Enquiry details pass through that server in the course of being delivered.
  • Our website hosting provider serves the pages and keeps the server logs described above.
  • Our email provider carries email between you and the clinic.
  • Google and Meta receive website usage data through the measurement tools described above.

Inside the clinic, enquiry information is seen only by clinic employees, and only by those who need it to answer you or to arrange your care.

The online booking system

Booking happens on a separate system at booking.bradfordskinclinic.com, which has its own handling of your information and runs the same measurement tools as this site. If you would rather not be measured by them, you can book by phone instead.

How long we keep it

Enquiries are kept for as long as we need them to answer you, to arrange and provide your care, and to keep a record of the contact. Where an enquiry becomes part of your clinical record, it is kept for as long as the clinic is required to retain health records in Ontario. An enquiry that does not lead to care is not kept indefinitely, and you can ask us to delete it at any time.

The legal framework

In Canada, private-sector handling of personal information is governed by the Personal Information Protection and Electronic Documents Act, usually shortened to PIPEDA. In plain terms it means an organisation should tell you what it is collecting and why, collect only what it needs, get your consent, keep it secure, and let you see what it holds about you and correct it if it is wrong.

Health information held by a health information custodian in Ontario is also governed by the province's Personal Health Information Protection Act, known as PHIPA. Your clinical records are handled under PHIPA. Ontario health information is not covered by HIPAA, which is United States legislation and does not apply here.

What you can ask us to do

  • Ask what information we hold about you.
  • Ask us to correct something that is wrong.
  • Ask us to delete an enquiry, where we are not required to keep it.
  • Withdraw your consent to be contacted, at any time.

Security

Enquiry information is treated as confidential and is shared inside the clinic only with the employees who need it to answer you. Access to Pabau is limited to clinic employees. Forms on this site are sent over an encrypted connection.

Complaints

Tell us first and we will try to put it right. If you are not satisfied with how we have handled your personal information, you can raise it with the Office of the Privacy Commissioner of Canada, or, for health records, with the Information and Privacy Commissioner of Ontario.
